Define the outcome
Describe the building’s intended use, location and approximate scale. For an existing property, explain what is in place and what needs to change. Separate essential requirements from preferences.
Collect the available information
Gather drawings, site photographs, surveys and existing project documents. Record missing information so it can be addressed early instead of relying on assumptions.
Clarify responsibilities
Identify who coordinates architecture, structure, mechanical, electrical and plumbing services, procurement and construction. Make it clear which work is part of the proposed package and which work is handled separately.
Compare a consistent scope
Compare materials, specifications, inclusions and exclusions when reviewing proposals. A headline price is difficult to assess without knowing what it covers.
Record decisions and changes
Discuss review points, progress reporting and the process for changes. Written decisions help the owner, consultants and construction team work from the same information.
